Effective Date: October 3, 2026 · Last updated: October 12, 2026

1. Scope and California Online Privacy Notice

This Privacy Policy explains how Veteran Webworks ("Veteran Webworks," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit our websites, request information, participate in a strategy call, purchase or use our website, Website Care, local-growth, automation, AI front-office, or related services, communicate with us, or opt in to text messaging.

This Policy is intended to provide the disclosures required for a commercial website under the California Online Privacy Protection Act ("CalOPPA") and, where Veteran Webworks is subject to the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA"), the additional disclosures and rights required by those laws.

Important: CCPA/CPRA rights apply only when the statute applies to Veteran Webworks and the particular information or person. This Policy does not represent that Veteran Webworks currently meets a CCPA applicability threshold.

2. Categories of Personal Information We Collect

  • Identifiers and contact information, such as name, business name, email address, mailing address, telephone or mobile number, IP address, and online identifiers.
  • Commercial, project, and account information, including services requested or purchased, website content, business details, preferences, support communications, approvals, and information needed to deliver the agreed scope.
  • Billing and transaction information. Payment-card data may be handled directly by third-party processors; Veteran Webworks may receive transaction status, invoice, or limited payment-related information rather than full card details.
  • Internet or electronic activity information, such as browser type, device information, pages viewed, referring pages, timestamps, cookie data, diagnostics, and security information.
  • Approximate geolocation derived from IP address or similar technical information.
  • Communications and consent records, including emails, form submissions, text interactions, SMS opt-in status, date and method of consent, and opt-out requests.
  • Information processed through contracted automation or AI front-office features, which may include inquiries, chat or call content, FAQs, qualification information, appointment requests, summaries, CRM-related information, or missed-call communications, depending on the selected services and configuration.

3. Sources of Information

We collect information directly from you; automatically from your browser, device, and interactions with our websites or communications; from clients when we act on their instructions in providing contracted services; and from service providers, integrations, payment processors, CRM or communications platforms, and other sources involved in delivering the Services.

4. Purposes for Collection and Use

  • Provide, operate, maintain, secure, and improve our websites and Services.
  • Respond to inquiries, conduct strategy calls, prepare recommendations and written scopes, fulfill projects, provide support, and administer client relationships.
  • Process transactions, invoices, subscriptions, and service-related communications.
  • Operate contracted local-growth, lead-automation, AI front-office, CRM, booking, notification, review, or related workflows.
  • Send communications that you requested or authorized, including SMS where consent or another lawful basis applies.
  • Maintain records of consent, preferences, opt-outs, approvals, and compliance activities.
  • Detect fraud, abuse, security incidents, and technical problems; comply with legal obligations; and enforce agreements.
  • Send marketing communications where permitted by law and consistent with your choices.

5. SMS/Text Messaging Privacy

Veteran Webworks does not sell or share your SMS opt-in data, mobile number, or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. Text-messaging originator opt-in data and consent are excluded from marketing data sharing.

Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.

We may disclose mobile information to service providers or subcontractors only as reasonably necessary to provide or support the messaging service, such as telecommunications carriers, messaging-platform providers, hosting or customer-support providers, and vendors acting on our behalf. Those disclosures do not authorize those parties to use your SMS opt-in information for their own marketing.

Message frequency varies. Message and data rates may apply. You may revoke consent by a reasonable method that clearly communicates your request. For texts, reply STOP or another recognized opt-out keyword. Reply HELP for help. We will process opt-outs as required by applicable federal law.

6. Service Providers, Integrations, AI, and Third-Party Usage

Veteran Webworks may use third-party hosting, domain, payment, SMS, phone, AI, CRM, analytics, security, Google-related, automation, and other technology providers to deliver Services. When information is processed through these providers, their services may be subject to their own terms and privacy practices.

Where Veteran Webworks configures an AI front-office, lead automation, booking workflow, CRM connection, missed-call text-back, review workflow, or similar system for a client, information may be routed to providers necessary to perform the contracted workflow. Veteran Webworks aims to configure these systems within the agreed business purpose and may use human handoff where context, judgment, or privacy requires it.

On this website, information you submit may be handled by these providers acting on our behalf:

  • Vendasta, our CRM, website chat widget, texting platform, and marketing-automation provider. It can receive form submissions, chat conversations, call summaries, and text-message records.
  • Zapier, which relays website form submissions to our CRM.
  • Square, which processes payments. Card details are entered with Square and are not stored by us.
  • Cal.com, which runs our booking page and collects the details you enter when you book a call.
  • A domain registrar (ResellerClub), which receives the registrant contact details you give us when you order a domain name.
  • Amazon Web Services, which hosts this website, and Cloudflare, which delivers it and helps protect it from abuse.

7. AI Chat, Virtual Assistant, and Call Recording

AI chat. The chat assistant on this website is a virtual (AI) assistant, not a person, and it identifies itself that way. It can make mistakes. Do not rely on it for legal, financial, medical, or other professional advice, and do not type payment card numbers, government ID numbers, passwords, or health information into the chat. What you type, and any contact details you share, may be stored in our CRM and reviewed by our team so we can follow up. The chat provider processes the conversation to produce replies. We do not sell chat content.

Calls and recording. Our business phone number, (951) 421-1893, is answered by a virtual (AI) receptionist named Tasha. Calls are recorded and transcribed. Every call begins with this notice: “This call is being recorded for quality and training purposes.” The receptionist then identifies itself as an AI receptionist. California requires the consent of everyone on a call before it is recorded. A caller who does not want to be recorded can end the call and contact us another way, such as by email. Recorded calls, transcripts, and call summaries are stored in our CRM and are used to respond to you, schedule appointments, and review service quality and training. We do not sell call recordings.

8. Categories of Parties to Whom Information May Be Disclosed

  • Service providers and contractors that help host websites, maintain systems, process payments, deliver communications, operate contracted automations or AI functionality, provide analytics, security, customer support, or other operational services.
  • Professional advisers or authorities when reasonably necessary to comply with law, legal process, enforce agreements, protect rights and safety, prevent fraud, or address security incidents.
  • Parties involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable law.
  • Other parties at your direction or with your consent.

Veteran Webworks does not sell personal information for money. Veteran Webworks also does not sell or share SMS opt-in data, mobile numbers, or messaging consent for third-party marketing or promotional purposes.

9. Cookies, Analytics, and Tracking; Do Not Track

Our websites may use cookies, pixels, local storage, analytics tools, or similar technologies to operate the site, remember preferences, understand usage, measure performance, and protect against fraud or abuse. Third-party analytics or embedded services may collect information through these technologies when present on the site.

Some browsers offer a "Do Not Track" ("DNT") signal. Because there is not a single universally adopted DNT standard, our website may not respond to legacy DNT signals. Where applicable law requires recognition of a legally valid opt-out preference signal, such as Global Privacy Control for a business subject to that requirement, Veteran Webworks will honor it as required by law.

This site runs our own self-hosted analytics (Umami) to count page views and button clicks. It records the page, referring site, browser, device type, and approximate location. It does not set cookies, and we do not use it to identify you or to follow you across other sites.

Optional Google Analytics cookies are separate. They are off unless and until we enable them, and if we do, they load only after you choose Accept analytics in the cookie banner. You can change that choice at any time with Cookie settings in the page footer. The site uses browser storage for essential purposes, such as remembering that choice. Embedded services you use, such as the chat widget, the booking page, and the checkout, may set their own cookies or use local storage under their own policies.

You may control many cookies through browser or device settings. Disabling cookies may affect site functionality.

10. California Privacy Rights

California residents may have rights under applicable California privacy laws. CalOPPA requires the public posting of specified privacy disclosures for covered commercial websites. If Veteran Webworks becomes or is subject to the CCPA/CPRA for a particular request, eligible California residents may have the right to know/access, delete, correct inaccurate personal information, opt out of sale or sharing, limit certain uses or disclosures of sensitive personal information, and receive equal service and pricing without unlawful discrimination for exercising privacy rights.

If the CCPA/CPRA applies and Veteran Webworks sells or shares personal information as those terms are legally defined, Veteran Webworks will provide the required "Do Not Sell or Share My Personal Information" / "Your Privacy Choices" mechanism and honor applicable opt-out preference signals. If Veteran Webworks does not engage in such activity, that opt-out link is not required solely because the business operates a website.

To submit a privacy request, email [email protected] with "Privacy request" in the subject line, and tell us which right you want to use. You may also use an authorized agent. We may need to verify your identity or your agent's authority before completing a request. Where the CCPA/CPRA applies, we will confirm receipt and respond within the legally required timeframe, which is generally 45 days and may be extended once when reasonably necessary. We will not treat you differently for using a privacy right.

11. Data Retention and Security

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide Services, maintain business and consent records, comply with legal obligations, resolve disputes, enforce agreements, and protect security. Retention periods vary based on the type of information, relationship, contractual requirements, and applicable law.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmission, storage, hosting, automation, AI processing, or security control is completely secure, and we cannot guarantee absolute security.

12. Email Marketing Choices

Commercial email from Veteran Webworks is subject to applicable federal law, including CAN-SPAM. Marketing emails will provide a mechanism to opt out of future commercial email. You may use the unsubscribe method provided in the message or contact us. Transactional or relationship messages may continue where permitted by law.

13. Children's Privacy

The Services are intended for business owners and other adults and are not directed to children under 13. We do not knowingly collect personal information online from children under 13 in a manner requiring parental consent under the Children's Online Privacy Protection Act ("COPPA"). If we learn that such information was collected without required authorization, we will take reasonable steps to delete it.

14. Third-Party Links and Services

Our websites and Services may link to or integrate with third-party websites, platforms, plugins, payment processors, registrars, social networks, Google services, AI providers, telecommunications services, or other providers. Their privacy practices are governed by their own policies, not this Privacy Policy.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The revised policy will be posted with an updated effective date. We will provide additional notice of material changes where required by applicable law. Veteran Webworks will review the Policy periodically and update it as business practices or legal requirements materially change.

16. Contact Us
